WINTER CLINICS TERMS AND CONDITIONS
For Exhibitor and Sponsor Representatives
The Winter Clinics Committee maintains a commitment to the safety and health of our attendees. Therefore, it has decided for the 2024 conference:
1) We highly recommend conference attendees, exhibitors, and sponsor representatives and guests appearing at Winter Clinics in person be fully-vaccinated against COVID-19 and Influence using an FDA approved vaccine. However, we are not requiring this. Guests must accept this risk.
2) All attendees should consider any recent "unmitigated exposures"* to COVID+ or persons with the influenza and/or their personal health status just prior to coming to the event. If a person must self-quarantine or stay home due to illness, you may send an alternate representative. No refunds for exhibitors will be provided.
3) If you are coughing and/or sneezing or showing signs of respiratory illness, we kindly request for you to watch online from your room and/or mask while in public.
*By "unmitigated exposures" we mean following the normal public CDC guidelines for when to quarantine posted on their website. Their guidelines don't take into account healthcare workers who may be exposed routinely but mitigated by full PPE precautions.
These safety protocols may be strengthened or loosened based on prevailing conditions closer to the event. The event may also be cancelled or converted to a virtual event should extenuating circumstances occur.
Use Agreement and Use of Likeness
By participating in Winter Clinics, you agree that ACMS may record your image and/or voice during the event broadcast. Recordings may be rebroadcast as ACMS sees fit without your permission or compensation. Please consider confidentiality when discussing any patient cases during the conference.
Booth Requests
Booth request reservations are made for and paid online by credit card. Online reservations made by companies who must pay by check will only be held for 30 days, at which time booth request may be released if in demand. ACMS reserves the right to refuse booth requests based on internal discretion and WC Committee input.
Booth Assignments
Booths this year will be located at ACMS’ discretion and all will be placed around the perimeter. Electricity will be available to any if requested in advance, but you must furnish your own power strip. Tables are 4’ long and a tablecloth will be provided.
Booth Representatives
In order to cut down on the number of people in the room, only two representatives per booth will be allowed in the exhibit hall at a time. A second representative may be elsewhere in Shore Lodge.
Cancellation Policy
· If we are forced to virtualize the event, 50% of the exhibitor fee will be refunded.
· No full cancellations or refunds will be made after December 31, unless the event cannot be held virtually.
· ACMS and Shore Lodge are not responsible for any exhibitors’ personal effects or exhibit materials left behind.
