The Winter Clinics Committee maintains a commitment to the safety and health of our attendees while the COVID pandemic continues. Therefore, it has decided for the 2022 conference: 1) All registered conference attendees, exhibitors, and sponsor representatives appearing at Winter Clinics in person must be fully-vaccinated against COVID-19 using an FDA approved vaccine. NO exemptions are provided, even if one is unable to take the vaccine due to health considerations or doctor recommendation.
Proof of vaccination will be requested for each representative upon completion of your registration; inability to supply it within 30 days will result in cancellation of your booth reservation and refund.
Boosters are recommended, but not required.
While vaccination is encouraged for family attending, we will not be able to require it.
2) All Winter Clinics attendees/representatives must wear a face covering/mask in the Shore Lodge educational areas, exhibitor hall, and other common areas utilized by the conference. Utilization of masks in the narrow hallways is requested out of respect for others. Family members in the common areas are asked to mask as well.
If actively eating and drinking, the mask may be removed, but it is expected if you are staffing your booth that your mask will remain on most of the time.
3) All attendees should consider any recent "unmitigated exposures" to COVID+ persons and/or their personal health status just prior to coming to the event. If a person must self-quarantine or stay home due to illness, we will provide a 50% discount on the registration in order for you to attend on line. You must make this request prior to the start of the event February 24, 6 PM.
By "unmitigated exposures" we mean following the normal public CDC guidelines for when to quarantine posted on their website. Their guidelines don't take into account healthcare workers who may be exposed routinely but mitigated by full PPE precautions. However, although those guidelines still say somebody exposed does not need to quarantine if vaccinated and with no symptoms, we also understand now that the Delta variant may make those guidelines a bit outmoded. This is why we are also requiring everybody to wear a mask.
These safety protocols may be strengthened or loosened based on prevailing conditions closer to the event.
Use Agreement and Use of Likeness By participating in Winter Clinics, you agree that ACMS may record your image and/or voice during the event broadcast. Recordings may be rebroadcast as ACMS sees fit without your permission or compensation. Please consider confidentiality when discussing any patient cases during the conference.
Booth Requests Booth request reservations are made for and paid online by credit card. Online reservations made by companies who must pay by check will only be held for 30 days, at which time booth request may be released if in demand.
Booth Assignments Booths this year will be located at ACMS’ discretion and all will be placed around the perimeter. Electricity will be available to any if requested in advance, but you must furnish your own power strip. Tables are 4’ long and a tablecloth will be provided.
Booth Representatives In order to cut down on the number of people in the room, only ONE (1) representative per booth will be allowed in the exhibit hall at a time. A second representative may be elsewhere in Shore Lodge.
Cancellation Policy · If we are forced to virtualize the event, 50% of the exhibitor fee will be refunded. · No full cancellations or refunds will be made after December 31, unless the event cannot be held virtually. · ACMS and Shore Lodge are not responsible for any exhibitors’ personal effects or exhibit materials left behind.
